TheRecords Management Department provides good stewardship, and professional assistance to citizens and other county departmentsregarding the management and storage of County records by utilizing technology to ensure excellent customer service, compliance withlegal retention standards, and the Freedom of Information Act. Ecient Courier services related to interdepartmental and postal mail arealso provided.Goals and ObjectivesTheRecordsManagementDepartmentwillcontinueprioritizingthescanning/digitizingofpermanentrecords,makingthemreadilyavailable for internal use, operating in a manner that increases the number of scanned, indexed, and microlmed documents, maximizingavailable facility space through purging physical records, and making more records available digitally via internal and external outletssuch as identifying new uses for Application-Xtender and the integration of the Exterro platform to create a more ecient and eectiveFreedom of Information Act process by oering transparency to the citizens of the County, providing disclosable public records disclosedwith ease. Records Management also oers additional services for departments, such as Job Requests for mass mailings, instead ofoutsourcing them and expects to implement additional smart lockers at other Beaufort County locations. Records Management willcontinue innovating current County processes by streamlining the Countys mail/parcel processing procedures utilizing net-gen mailmanagement technology.Department DescriptionRecords Management has eight full-time sta members, including its director. It is the central scanning, microlming, and storage facilityfor inactive county records. In addition to capturing permanent records digitally and on microlm, it is responsible for receiving andprocessing all Freedom of Information Act requests and handling all incoming and outgoing postal mail, plus interdepartmental mail.Records Management serves not only other county departments but all the citizens of Beaufort County through its wide-ranging mission.Performance MeasuresIn FY2022, Records Management scanned and digitized 393,226 images and microlmed 433,724.
